Call every new HubSpot lead within seconds

Connect HubSpot in a click. Peregrine calls each new contact within seconds, qualifies them on your criteria, live-transfers the good ones and writes everything back to the contact. Prefer workflows? A webhook works too.

The native HubSpot app

Open Integrations in Peregrine and choose Connect HubSpot. You sign in to HubSpot, approve access and land back in Peregrine. From then on, every new contact with a phone number is called within seconds. HubSpot tells Peregrine about each new contact the moment it is created, and Peregrine checks every few minutes for any it missed, so a lead is never lost and never called twice.

You decide which contacts count: every new contact with a phone number, only contacts from the forms you pick, or only contacts in the lifecycle stages you pick. You can also call existing contacts again when they fill in another form, and choose which qualification profile HubSpot leads use.

The HubSpot app is part of Growth, Scale and Enterprise, and every free trial includes it.

What Peregrine writes back

After every call, Peregrine logs a call on the contact's timeline with the outcome, the duration, the fit score, each qualification criterion with the answer and whether it passed, and a summary of the conversation. It keeps three contact properties up to date in a Peregrine property group: Peregrine status, Peregrine fit score and Peregrine last call.

Each outcome has its own rule that you can change. When a rep takes the transfer, the contact's lead status becomes Connected and that rep becomes the contact owner, matched by email. When a qualified lead finds no rep free, a high-priority HubSpot task is created for the rep who has waited longest, due at the booked callback. A requested callback gets a task at the time the lead asked for. A lead who is a fit but not ready yet is marked for nurture. A lead who is not a fit is marked Unqualified with the reasons. Unanswered attempts are logged and the lead status becomes Attempted to contact. A lead who asks not to be called again is flagged with Peregrine do not call and a note.

Learn from your closed deals

Peregrine can build your qualification profile from HubSpot. Pick a deal pipeline and a date range, and Peregrine compares closed-won deals with closed-lost ones using the company on each deal: employees, industry, country, state, revenue and founding year. It drafts weighted criteria from what separates them, shows the numbers behind each one, and saves nothing until you approve it.

The webhook method

If you would rather keep everything in HubSpot workflows, or your team wants to send only a hand-picked set of contacts, use a workflow with the "Send a webhook" action instead. It calls just as fast. Results stay in Peregrine unless the HubSpot app is also connected, in which case they are written to the contact with the same email.

In Peregrine, open Sources & API and add a Webhook source. Name it after where the leads come from, such as "HubSpot demo form". Peregrine gives the source its own URL with a token in it. The token identifies the source, so the request needs no other authentication. Keep the URL private, because anyone who has it can send leads to your account.

In HubSpot, create a contact-based workflow. For the enrollment trigger, choose a submission of the forms you want called, or a list or lifecycle stage that marks a new inbound lead. Add a filter that the contact's phone number is known. Add the "Send a webhook" action, set the method to POST, paste your Peregrine source URL and customize the body: first_name for First name, last_name for Last name, phone for Phone number, email for Email, company for Company name and external_ref for Record ID. Numbers without a country code are read as US or Canada.

Test it

Create a test contact in HubSpot, or submit one of your forms, with your own phone number. Make sure at least one rep, such as you, is marked available in Peregrine, because by default it only dials while someone can take a transfer. The lead appears in Peregrine within a few seconds, your phone rings right after, and the call shows up on the contact in HubSpot a minute after you hang up.

If the lead does not appear, check the HubSpot card under Integrations in Peregrine: it shows the last sync and any error. Sync now checks HubSpot straight away. With the webhook method, open the workflow history in HubSpot: Peregrine answers 202 when it accepts a lead, and any other answer says what was wrong, such as a missing phone number.

If your plan has no webhook action

The native app does not need workflows, so it works on every HubSpot plan. If you want the webhook method without workflow webhooks, there are two other options. If the form sits on your own website, add the Peregrine snippet to that page; it sends the lead the moment the form is submitted, while HubSpot handles the submission as usual. Or use Zapier: HubSpot's new contact or new form submission trigger, then a Webhooks by Zapier POST to your source URL with the same keys as above.

Choosing which contacts to call

Call the leads a phone call helps: demo requests, quote requests and "talk to sales" forms. Leave out newsletter sign-ups, content downloads and existing customers. On the HubSpot card in Peregrine, pick those forms or the lifecycle stages that mark a new inbound lead.

If you sell more than one thing, create a qualification profile for each in Peregrine and choose which one HubSpot leads use. Growth includes three profiles and Scale includes unlimited profiles.

Matching reps to HubSpot users

Peregrine matches each rep to a HubSpot user by email, and the HubSpot card shows the match for every rep. Matched reps become the owner of the contacts they take, and get the follow-up tasks when a transfer is missed. A rep with no match still takes transfers; the call is logged without an owner.

Common problems

A contact was not called. Check that it has a phone number and matches the forms or lifecycle stages you picked. The card under Integrations shows the last sync and any error, and Sync now checks straight away. Calls do not appear on the contact. Write-back runs about a minute after each call; check that write-back is on and that the call's outcome has Log the call ticked. With the webhook method, names are blank: HubSpot's internal property names are firstname and lastname, so rename the keys to first_name and last_name.

Before you turn it on for every form

Make the phone field required on the forms you send, and add a consent line next to it that mentions a call that may use an AI assistant. Approve your qualification profile in Peregrine. Add your reps with their hours and the numbers transfers should ring. Then test one form end to end before you add the rest.

Questions

Does Peregrine write call results back to HubSpot?

Yes, with the native HubSpot app. Every call is logged on the contact with its outcome, fit score, criteria and summary; Peregrine's contact properties and the lead status are updated; the rep who took the transfer becomes the owner; and missed transfers and callbacks become HubSpot tasks. You choose what happens for each outcome.

Which HubSpot plans work?

The native app works with any HubSpot account where you are allowed to install apps. The webhook method needs a plan with the workflow "Send a webhook" action. Without it, add the snippet to pages where your HubSpot form is embedded, or connect through Zapier.

Which Peregrine plans include the HubSpot app?

Growth, Scale and Enterprise, and every free trial. On Starter, use the webhook method.

Can it call only certain forms?

Yes. Choose forms or lifecycle stages on the HubSpot card in Peregrine, or, with the webhook method, let your workflow enrollment triggers decide.

Will a contact be called twice?

No. Each HubSpot contact becomes one Peregrine lead, however many times HubSpot reports it, and the same phone number within ten minutes is treated as a duplicate. A repeat form fill starts a new call only if you turn that on.

Does it work with Salesforce?

Yes. Peregrine has a native Salesforce integration too: new Leads are called within a minute and every outcome is written back as a Task. Connect it under Integrations, next to HubSpot.
